To purchase a Membership, Members must complete the sign-up process online (or in-club if aged 16–17). During sign-up, Members are required to provide personal and payment details and confirm their agreement to the GYMBOX Terms & Conditions, Privacy Policy, Club Rules, Promotion Conditions and Health Statement. If the online system is unavailable, Members may be required to complete a physical Membership Contract, referred to as an Application Form instead.

4.2 Acceptance of your Membership Contract by us takes place when we send you a Membership Contract Confirmation, at which point a legally binding contract is formed between you and us on these Terms and Conditions and your Membership is effective.

4.3 The Membership is subject to these Terms and Conditions. Completion of a GYMBOX Membership Contract or submission of a GYMBOX Membership Contract is an offer to GYMBOX to become or remain a Member of the Club, subject to these Terms & Conditions and the GYMBOX Club Rules. GYMBOX reserves the right to reject any Membership Contract or submission for Membership.

4.4 GYMBOX offers different types of Memberships. An up-to-date overview of the various Memberships and additional services is available on the Website and/or in the GYMBOX app. If you are 16 or 17 years old, you can only purchase a Membership on site at the Club with a sales representative and ID must be provided and approved by a GYMBOX sales representative in order to be eligible to complete the sign up.

4.5 If a Member has previously held a GYMBOX Membership and still has an outstanding debt with GYMBOX or with our debt collection agency, or if a Member has been denied access to any facility of GYMBOX, they are not eligible to sign up for a new Membership.

4.6 The Membership will, after the end of the Minimum Term specified in the Membership Contract and/or Membership Contract Confirmation, continue on a monthly rolling basis for an indefinite period and the Member may terminate their Membership at any time thereafter on one full calendar months’ notice in the manner described in Chapter 8 of these Terms and Conditions. More information about the extension of your Membership and the associated fees can be found in your Membership Contract Confirmation.

4.7 A Member may apply to upgrade to a different Membership type once their current Minimum Term is complete. A Member cannot upgrade to a Membership type with a shorter Minimum Term than their current Membership.

4.8 Any months completed on a previous Membership type will not be credited toward the Minimum Term of the new Membership. A Member may only move onto a Membership type and rate available at the time of upgrading. These may vary from Membership types available at the Member’s point of joining. A Member may not reverse their upgrade once it has been agreed and processed unless they provide notification of such reversal within the Cooling Off Period by contacting Member Services through the Contact Form.

4.9 The Membership and the entrance QR code for Club access is personal and non-transferable. The Membership can only be used by the Member who entered into the Membership.

4.10 Membership is available to individuals aged 16 years and over, subject to status.

4.11 The Member consents to having their photograph taken by GYMBOX for identity verification purposes upon entry to the Club. This is a necessary requirement for Membership.

4.12 Where a Membership is organised under a corporate invoiced company scheme, whilst cancellations and freezes can be requested by the Member via the Gymbox App, all other Membership changes such as change of access level or membership duration, must be requested by the designated corporate contact to GYMBOX, not the Member, unless otherwise stated in the Membership Contract Confirmation.

4.13 A Member can request to transfer their Membership to another Club after the first four weeks of their Membership by contacting Member Services through the Contact Form. The new Club’s current rates may result in a price increase or package adjustment. We will inform you of any such price increases or package adjustments prior to completing the transfer.

4.14 Membership Freeze Policy: Members can freeze their Membership via the GYMBOX app under “Idle Periods” in the Self-Serve section. In the event the freeze hasn’t commenced, the Member can unfreeze also via the GYMBOX app, or in the event the freeze has begun then the Member must request to unfreeze by requesting this via a Contact Form to the Member Services Team. Freezes must be for a minimum of 1 full calendar month (starting on the 1st of the month) and a maximum of 3 consecutive months within a 12 month period, starting as of the Start Date of Use, otherwise the request to freeze your Membership will be denied. Requests must be submitted at least 5 days before the desired start date. A £25 monthly administration fee applies, and frozen months do not count toward the Minimum Term, instead extending the obligation date. Freezing is not permitted during the cancellation notice period, with payments deducted monthly on or around the 1st of the month.

4.15 For medical freezes (illness, injury, or pregnancy), fee leniency or backdating may apply with the provision of valid medical documentation, please contact Member Services through the Contact Form to discuss your options.

4.16 During a freeze, Members lose all Club access, including guest passes. Early unfreezing incurs a pro rata fee for the remaining month, with no credit for the administration fee.

Chapter 5. VISITORS

5.1 GYMBOX Members receive 5 single-use Guest Passes upon joining and 5 more annually on their Membership anniversary. These passes, valid for non-Members only, expire after 12 months. Guests should be booked in advance via the GYMBOX app. Studio classes may be booked on the day at reception, subject to availability.

5.2 Non-Members can also purchase Day Passes directly with Club reception, but they can only book studio classes on the day at reception, subject to availability.

5.3 All Visitors and Club Users will be required to have their photo taken or provide valid photo ID in order to enter the Club. Entry is at GYMBOX’s discretion and may be restricted during peak times.

5.4 Free trials are available for first-time Visitors genuinely interested in joining and include a facility tour and discussion about membership options. Free trials are not available to ex-members or previous trial Club Users.

Chapter 6. WELLHUB

6.1 Wellhub Members can access GYMBOX Clubs only if their Wellhub Membership includes this benefit. All check-ins and bookings must be done via the Wellhub App—unsuccessful check-ins will result in denied entry.

6.2 Wellhub Members do not receive GYMBOX Member benefits like Guest Passes or PT Tasters. Access disputes must be resolved directly with Wellhub, not GYMBOX. GYMBOX reserves the right to remove any Wellhub Member violating GYMBOX’s Terms & Conditions or Club Rules.

6.3 Existing GYMBOX Members switching to Wellhub must first cancel their GYMBOX Membership according to GYMBOX’s cancellation policy. Wellhub Membership cancellations must be arranged directly with Wellhub.

Chapter 7. RIGHT OF WITHDRAWAL / COOLING-OFF PERIOD

7.1 GYMBOX offers a 14-day cooling-off period for new Members who sign up online, over the phone, via the app or during a new Club’s presale period (“distance selling”) and existing Members upgrading or changing their Membership (e.g., access level or home Club). The 14 day period commences on the date you receive your Membership Contract Confirmation (the “Cooling Off Period”) or confirmation of upgrade / Membership change if an existing member.

7.2 New Members will receive a full refund of any fees paid (including any Joining Fee) if they terminate within the Cooling Off Period within 14 days of our receipt of your notice of termination. To terminate your Membership during the Cooling Off Period please contact Member Services through the Contact Form.

7.3 If you visit the Club once during the Cooling Off Period, you may still cancel the Contract within the Cooling Off Period and receive a full refund of any fees paid. However, if you visit the Club more than once during the Cooling Off Period, each additional visit beyond the first will be charged at the Day Pass rate for that Club, with any refunds or additional charges adjusted based on the fees already paid.

7.4 Exceptions: The Cooling Off Period does not apply if you use an existing GYMBOX site before your new Club opens during the presale period. Existing Members who upgrade or change their Membership have 14 days from the change date to revert to their previous terms by contacting Member Services via the Contact Form. Fees will be adjusted accordingly, and if the change results in reduced monthly fees, the difference will be refunded accordingly.

Chapter 8. CANCELLATION OF THE MEMBERSHIP

8.1 Members can cancel their Membership after the Minimum Term by providing one full calendar months’ notice, with cancellation taking effect from the 1st of the following month. Cancellation must be submitted via the self-serve section of the GYMBOX App, which displays the earliest possible cancellation date; if the desired date is unavailable in the app, Members should contact Member Services through the Contact Form. If you pay via Direct Debit you are responsible for cancelling the mandate after the final payment however if any payments are made via Direct Debit after final payment we will refund these to you. No refunds are provided for prepaid fees, except in cases of permanent illness, or injury, for which valid supporting documentation is required and subject to approval.

8.2 16–17-Year-Old Memberships: 16–17-Year-Old Memberships can be cancelled via the app’s self-serve section or by stopping the direct debit, provided at least 5 working days’ notice is given to the bank. Cancellation takes effect at the end of the paid period, with no backdating or refunds. Failed direct debits will result in immediate denial of Club access and termination of Membership within 2 working days. To reinstate your membership, you must contact Member Services via the Contact Form. 16–17-Year-Old Memberships automatically end at the end of the payment period when the Member turns 18. GYMBOX will then contact the Member to offer a new contract with updated terms and pricing.

8.3 Early Cancellation: Members may terminate their Membership during their Minimum Term by providing one full calendar months’ notice, with the Contract backdated to match the paid months and in such circumstances Members must pay the difference between fees paid and the adjusted rate for the shorter term, and any promotional discounts or free periods will be revoked, with waived fees repaid. In exceptional circumstances (redundancy, pregnancy, or permanent injury/illness), Members may cancel early with one full calendar months’ notice, without backdating or repaying discounts, provided valid supporting documentation is submitted and approved by the Member Services Team. Pre-start cancellations, after the Cooling Off Period but before the Start Date of Use incur a £55 fee. Memberships cannot be frozen during the cancellation notice period.

8.4 Termination of Membership by GYMBOX: GYMBOX reserves the right to terminate a Membership immediately by giving you notice by email if:

8.4.1 you repeatedly or seriously breach the Terms and Conditions and/or Club Rules,

8.4.2 you do not pay your fees in accordance with these Terms and Conditions and fail to make payment by the date specified in our late payment request,

8.4.3 you are deemed unsuitable (for reasons including, but not limited to, inappropriate, threatening or abusive behaviour or due to reputational risk to GYMBOX) for continued Membership at GYMBOX’s discretion, or

8.4.4 you endanger the health, safety, or well-being of GYMBOX staff, or any Club User.

8.5 All termination decisions are final, and GYMBOX will likely reject future Membership Applications from Members who have previously had their Membership terminated by GYMBOX.

Chapter 9. MEMBERSHIP FEES AND PROMOTIONS

9.1 Membership is entered at the rates set out in the Membership Contract or on the Website at the time the Membership Contract is submitted (the Membership Fees).

9.2 Membership Fees & Payments: You may be required to pay a Joining Fee which will be set out as part of the joining process. The Joining Fee is non-refundable unless you terminate within the Cooling Off Period.

9.3 Membership fees are payable in advance—either monthly or in full—and will be debited as follows:

9.5 Fee Adjustments: GYMBOX reserves the right to change the Membership Fees in accordance with Chapter 9.6 and/or the payment frequencies of the Memberships regardless of the Member’s Obligation Date. Any increase in the Membership Fees or change in payment frequencies will be announced at least one full calendar month advance. We will notify you of any changes either via email to the email address provided by the Member or through the GYMBOX app. In the event of an increase in the Membership Fees greater than that confirmed in Chapter 9.6, the Member has the right to terminate the Membership free of charge within four (4) weeks of the announcement.

9.6 Indexation: GYMBOX reserves the right to increase the Membership Fees annually in accordance with the Consumer Price Index (CPI) as published by the Office for National Statistics (or any successor body).

9.7 Discounts, Promo Codes Eligibility: Discounted Memberships require proof of eligibility; failure to provide this promptly when asked will result in the full Membership fee being charged, with no refunds for the difference. Discounts based on temporary eligibility (such as age or student status) may expire, and fees will adjust after the Minimum Term, with one full calendar months’ notice. Promo codes must be validated; if eligibility is not verified, discounts will be reversed, and any waived fees must be paid in full.

Chapter 10. REGISTRATIONS AND ACCESS

10.1 All Members are required to download the GYMBOX app and create a complete Member account, including an up-to-date profile picture, to access the Club. Entry is granted by scanning the QR code in the GYMBOX app. Members must also scan their QR code when exiting the Club.

10.2 Access to GYMBOX Clubs is available via the GYMBOX app (with a valid Membership) or through Reception (as a Visitor). All Club Users must check in and check out—either via the app or at Reception. Staff may request a Club User to have their photo taken or provide photo ID and reserve the right to deny entry. To ensure optimal and secure services, all Member visits are registered. Members can check their visit frequency directly in the GYMBOX app.

10.3 Each Member is limited to one primary device for app access. Sharing login details or allowing others to use your Membership will result in immediate termination of your Membership without a refund.

10.4 All Club Users must vacate the Club by closing time. Details of standard opening hours are available at each Club and on the Website and may vary without notice. GYMBOX reserves the right to amend opening hours, restrict access to or change certain facilities, classes and equipment, or temporarily close areas for maintenance, cleaning, refurbishment, special events, or holidays. GYMBOX has the right to change the Club’s access of all Memberships.

Chapter 11. LIABILITY

11.3 Property Liability: GYMBOX is not responsible for loss, damage, or theft of personal property in its Clubs.

11.4 Exceptions & Limits: GYMBOX does not exclude liability for death, injury due to negligence, fraud, or legally inescapable liabilities. Chapter 12. INSTRUCTIONS

12.1 Compliance with Instructions and Rules: Club Users must comply with all instructions given by GYMBOX employees, as well as the established regulations and GYMBOX Club Rules

13. Chapter 13. PAYMENT

13.1 Payment of Membership Fees and additional services is collected periodically via BACS Direct Debit and/or Card Payments. The BACS Direct Debit authorisation and/or card verification is deemed to have been issued by a Member during registration. In the event of BACS direct debit failures, outstanding Membership fees can be paid via the GYMBOX app.

13.2 If you are required to pay a Joining Fee, you must pay this when you submit your Membership Contract if signing up online or you must pay this in the Club or via the GYMBOX app when the sign-up is completed in the Club.

13.3 If you do not pay your fees in accordance with these Terms and Conditions, then GYMBOX may debit your registered account without prior notice. Non-payment may result in a £45 administrative fee if sent to a third-party collections agency, and your Membership may be terminated in accordance with Chapter 8.4.2. GYMBOX has the right to deny reinstatement of the Membership in such circumstances.

Chapter 14. CLUB FACILITIES & CONDUCT

14.1 Class & Studio Policy: GYMBOX may change class timetables, instructors, or offerings at any time and will aim to notify Members of class cancellations where possible. Bookings open 3 days in advance and 2 hours before the class starts (74 hours), with no overlapping reservations allowed. Class strikes are awarded for late class cancellations (less than one hour before class start time) or no-shows. Three strikes in a 30-day window triggers a 1-week booking restriction. Waitlisted Members are auto booked if a spot opens and must remove themselves if unavailable to avoid penalties. Late arrivals forfeit their spot unless they rebook if space remains, swiping in 5 minutes early to avoid a strike. If an under-18 Member is the sole participant in a group exercise class, they must declare their age to the instructor and will not be permitted to take part in that session.

14.2 Group Training & Studio Use: Members may train individually or in small groups, but only GYMBOX PTs, instructors, or those with approved studio hire agreements can lead group sessions. Empty studios may be used, but Members must vacate 10 minutes before scheduled classes and return all equipment. Audio and lighting equipment is reserved exclusively for classes.

14.3 Combat & Sparring: The boxing ring may only be used under the supervision of a qualified GYMBOX combat coach, PT, or during a scheduled class. All sparring must be supervised by trained staff with appropriate insurance. Protective gear — head guard, gum shield, and weighted gloves — is mandatory for contact sparring. Only two people may spar at a time, and GYMBOX may stop sparring at any time.

14.4 Club Relocation by GYMBOX: If GYMBOX relocates a Club to a new premises or opens a new one nearby, Members can reject the move and terminate their Contract when their current Club closes. GYMBOX will notify Members 2 full months before relocation, and cancellation requests must be submitted via GYMBOX Member Services with at least 1 full month’s notice, effective the 1st of the following month. If Members do not accept the relocation, they may cancel within the first 10 days of the new Club opening (with 1 full calendar month’s notice). After day 10, the Membership and all Terms & Conditions fully transfer to the new Club.

14.5 All Members and Visitors are expected to conduct themselves respectfully while using Club facilities. Any behaviour deemed intimidating, abusive, violent, inappropriate, or disrespectful may result in immediate removal from the Club and, for Members, termination of Membership without refund.

14.6 Only drinks in sealable containers and food or drink purchased at GYMBOX may be consumed on the Club. Alcohol, illegal substances, smoking, and vaping are strictly prohibited. Any person under the influence of alcohol or illegal substances may be refused entry or removed.

14.7 Members are entitled to one towel per visit. To support our sustainability efforts, please only take a towel when needed and return used towels to the designated bins.

14.8 Club Users must wear suitable gym clothing at all times — a top, training shorts or trousers, and closed shoes (unless barefoot is required for a class). Jeans, open shoes, or getting changed outside the changing rooms are not permitted. Inappropriate clothing or poor hygiene may result in removal from the Club or suspension of Membership. Please wear clean gym gear and maintain good personal hygiene while training. Bags are not permitted on the gym floor. Bicycles and electric scooters must not be brought into the Club—please speak to a team member for local storage advice.

14.9 Lockers: Lockers are available for day use only. A limited number of permanent lockers are available for hire, subject to payment being kept up to date. Club Users must provide their own padlock or may purchase one from reception. GYMBOX reserves the right to cut locks and remove contents from any day lockers left overnight, or from permanent lockers with overdue payments. Items may be collected from reception upon payment of a recovery fee. Any unclaimed property will be held for a reasonable period before being donated to charity. GYMBOX strongly advises that all belongings are securely locked in a locker while using the facilities and GYMBOX accepts no responsibility for loss, theft, or damage to personal property, unless proven to be caused by GYMBOX’s negligence. Members are advised not to bring valuables into the Club wherever possible.

14.10 Photography & Video: Club Users may only take photos or videos on mobile phones and must not record in changing rooms, toilets, or saunas. Always respect others’ privacy and obtain permission from anyone appearing in your photos or videos. Professional filming or staged shoots require prior approval from the Club. Misuse of personal technology may result in removal from the Club or termination of Membership.

14.11 Sauna: Club Users must follow the Sauna Safety guidance displayed in each sauna. Shower before and after use, and wear only a towel or appropriate swimwear. Personal belongings, including phones and electronics, are not allowed; only digital wristwatches are permitted. Saunas are monitored, and inappropriate behaviour may result in removal from the Club or termination of Membership.

Chapter 15. PERSONAL TRAINING

15.1 Independent Status: GYMBOX Personal Trainers (PTs) are self-employed freelancers, not GYMBOX employees. Booking sessions—via the TEAMUP App or directly—creates an agreement solely with the PT.

15.2 Age Restriction: Personal training is restricted to Members aged 18 and over.

15.3 Authorised Trainers: Only GYMBOX-approved PTs and instructors, with verified certifications and insurance, may provide training. External trainers are prohibited. PTs operate independently, not as GYMBOX employees or agents.

15.4 TEAMUP Personal Training Terms:

  • Booking & Payments: Book sessions via the TEAMUP App; payments are processed securely through Stripe. GYMBOX and TEAMUP do not access full card details.
  • Cancellation Policy: Cancel 24+ hours before for a TEAMUP credit; cancellations under 24 hours forfeit the session. Report PT no-shows to the PT Manager via TEAMUP for a credit.
  • Refunds & Transfers: Sessions are non-refundable and non-transferable unless the PT Manager approves a refund due to a PT no-show with no alternative. Sessions remain valid while the GYMBOX Membership is active.
  • Consent & Liability: Booking permits PT contact for scheduling. GYMBOX is not liable for PT services or their delivery.

Chapter 16. OUT THE BOX (ON-DEMAND PLATFORM)

16.1 Included with Membership: Each GYMBOX Member receives one free Out The Box subscription, either auto-enrolled or via a discount code. Members must use the same email as their GYMBOX account to verify the discount. Access to Out The Box ends when the GYMBOX Membership terminates.

16.2 Non-Members: Non-Members can subscribe to Out The Box through a paid monthly or yearly plan, which auto-renews until cancelled.

16.3 Payments & Cancellation: Payments are automatically deducted from the card on file. To cancel, go to “Account Deets” → “Billing” → “Change Plan” → “Cancel Membership” in Out The Box. Cancellation must occur before the next payment date, with access continuing until the end of the billing period. No refunds are provided for unused subscriptions or payments after the renewal date.

16.4 Safety & Age Restriction: Club Users must stop workouts immediately if feeling faint, dizzy, or in discomfort and consult a medical professional. Subscribers must be aged 16 or older.

16.5 Privacy & Support: GYMBOX may contact subscribers about other offers; see the GYMBOX Privacy Policy for details. For questions, email .

16.6 GYMBOX reserves the right to adjust, change, or terminate the use of OUT THE BOX at any time.  Where we make any significant changes to OUT THE BOX or your use of the same is terminated, we will notify you by email of any such changes at least 30 days before they take effect. If you do not agree to the changes, you may cancel your Membership without penalty before the changes take effect by contacting Member Services through the Contact Form which can be found on the Website.

Chapter 17. ENFORCEMENT

17.1 Enforcement of Rights: GYMBOX reserves the right to enforce its rights under this agreement at any time. The failure to enforce any right or address a breach of the Terms & Conditions or Club Rules at any given time does not constitute a waiver of those rights or acceptance of the behaviour.

Chapter 18. Other provisions

18.1 Complaints Members can submit any complaints regarding the Terms and Conditions via the Contact Form.

18.2 Severability If any provision of these Terms is held to be unlawful, void, voidable, or otherwise unenforceable, this shall not affect the validity and enforceability of the remaining provisions. The unlawful, void, voidable, or otherwise unenforceable part shall be deemed replaced by a valid and enforceable provision that comes as close as possible to the purpose and scope of the replaced provision.

18.3 Events Beyond our Control Should GYMBOX be unable to offer its services (in full or in part) to a Club User due to Events Beyond our Control, we will contact you as soon as possible and let you know what we will do to reduce the disruption (for example, by providing you with suitable alternative services). Any payments already made by the Member will not be refunded. During this period, providing that GYMBOX has provided you with suitable alternative services, GYMBOX is entitled to continue to collect Membership fees from the Member. If GYMBOX fails to provide suitable alternative services if an Event Beyond our Control occurs, the Member has the right to suspend their obligations under the Membership during this period or to cancel the Membership with immediate effect and receive a refund for services paid for but not received.

Chapter 19. PRIVACY

19.1 GYMBOX is committed to safeguarding the personal information of its Members and strictly adheres to the EU General Data Protection Regulation (GDPR). Our Privacy Policy provides detailed information on how your data is collected, stored, and processed, as well as the rights you hold under GDPR. We encourage all Members to review this policy to understand how their information is managed and protected.

19.2 Members are responsible for ensuring their personal information is accurate and up to date. Any changes or updates to your details should be requested using the email address registered in our system. GYMBOX will use the contact information provided on your Membership Contract—or any updated details you submit—to send important notifications and communications.

19.3 Before accepting your Membership agreement, it is essential to read and fully understand the GYMBOX Privacy Policy. This ensures you are informed about your data rights and how your information will be managed throughout your Membership.

Chapter 20. APPLICABLE LAW AND COMPETENT COURT

20.1 These Terms & Conditions and any related disputes (including non-contractual disputes) are governed by the law of England and Wales. Both parties agree that the courts of England and Wales have exclusive jurisdiction to resolve such disputes.
